- PAYROLL ADMINISTRATOR
The Payroll Administrator will be responsible for ensuring the accurate and timely processing of employee payroll while maintaining compliance with statutory requirements and company policies. He/she Will be involved managing payroll records, statutory deductions, employee benefits, and payroll reporting, while ensuring confidentiality and accuracy of employee data.
Duties and Responsibilities:
- Process monthly payroll accurately and within established timelines.
- Verify employee attendance, overtime, leave, allowances, deductions, and other payroll inputs.
- Calculate salaries, bonuses, commissions, incentives, and statutory deductions.
- Ensure payroll changes such as new hires, resignations, promotions, salary adjustments, and terminations are accurately captured.
- Reconcile payroll data before processing to eliminate discrepancies.
- Calculate and process statutory deductions including PAYE, NAPSA, NHIMA, Workers’ Compensation Fund (WCF), and any other applicable statutory obligations.
- Prepare statutory reports and ensure timely submission to relevant regulatory authorities.
- Keep abreast of changes in labour legislation, tax laws, and payroll regulations.
- Maintain accurate employee payroll records and personal information.
- Update payroll systems with employee changes and maintain proper documentation.
- Ensure payroll information is kept confidential and secure.
- Prepare monthly payroll reports and management summaries.
- Generate payroll journals for Finance.
- Prepare reconciliation reports for salaries, deductions, and statutory payments.
- Assist with payroll audits by providing required documentation and reports.
- Respond to employee payroll queries promptly and professionally.
- Resolve payroll discrepancies and explain salary calculations when required.
- Issue payslips and employment income reports as requested.
- Maintain payroll software and ensure data integrity.
- Identify opportunities to improve payroll processes and internal controls.
- Support system upgrades, payroll testing, and implementation of new payroll processes where required.
Qualifications and Experience:
- Diploma or Bachelor’s Degree in Human Resource Management, Accounting, Finance, Business Administration, or a related field.
- Payroll certification is an added advantage.
- Minimum of 2 – 4 years’ experience in payroll administration.
- Experience processing payroll for medium to large organizations.
- Experience using computerized payroll systems.
- Strong knowledge of payroll principles and procedures.
- Good understanding of Zambian labour laws and statutory requirements.
- Knowledge of PAYE, NAPSA, NHIMA, WCF, pensions, and other statutory obligations.
- Understanding of employee benefits administration.
- HUMAN RESOURCE MANAGER
HR Manager who will be responsible for overseeing all human resource functions within the organization, ensuring compliance with Zambian labour laws and sector-specific regulations. This includes recruitment, employee relations, payroll coordination, disciplinary processes, and staff welfare. The ideal candidate must have experience in managing a large, diverse workforce, including unionized employees, and demonstrate strong organizational and interpersonal skills.
Duties and Responsibilities:
- Develop and implement HR strategies and policies aligned with the company’s business goals.
- Oversee recruitment, onboarding, and deployment of security guards and administrative staff.
- Ensure full compliance with Zambian labour laws, Ministry of Labour requirements, and industry regulations.
- Coordinate with the Operations Department to forecast staff needs based on client contracts.
- Manage payroll inputs and ensure timely payment in collaboration with the Finance Department.
- Handle disciplinary processes, conflict resolution, and grievance procedures in a fair and legal manner.
- Maintain accurate and confidential employee records, contracts, and separation agreements.
- Lead performance management initiatives and staff development programs.
- Advise management on best HR practices, employment law, and risk mitigation.
- Coordinate with relevant authorities (e.g., Labour Office, NAPSA, NHIMA) for statutory compliance.
- Support the management in negotiations with unions or employee representatives where applicable.
- Ensure employee welfare, health, and safety initiatives are in place and monitored.
Skills and Competencies:
- Solid understanding of the Zambian Employment Code Act, redundancy, and mutual separation procedures.
- Experience managing a workforce of 1000+ employees.
- Strong interpersonal, communication, and problem-solving skills.
- High level of integrity, confidentiality, and professionalism.
- Adaptability and crisis management
Qualifications and Experience:
- Bachelor’s degree in Human Resource Management, Business Administration.
- 5 years of HR management experience, preferably in the services industry.
- Knowledge of management and accounting transactions.
- Similar background experience will be an added advantage.
- Member of the Zambia Institute of Human Resource Management (ZIHRM) – must be registered
3. SALARY SURVEY ANALYST
The Salary Survey Analyst will be responsible for planning, conducting, analysing, and reporting salary and benefits surveys across various industries. He/She will support clients by providing accurate market remuneration data, benchmarking reports, and strategic recommendations to help them attract, retain, and reward talent competitively. The incumbent will ensure data integrity, confidentiality, and compliance with established survey methodologies.
Duties and Responsibilities
- Coordinate annual and ad hoc salary and benefits surveys.
- Develop and maintain salary survey questionnaires and data collection tools.
- Identify and recruit participating organizations across different industries.
- Manage survey timelines and ensure timely completion of all survey activities.
- Ensure confidentiality of all participating organizations’ data.
- Collect salary and benefits data from participating organizations.
- Review submissions for completeness, consistency, and accuracy.
- Validate and cleanse salary data before analysis.
- Follow up with participating organizations to resolve data discrepancies.
- Analyse salary, benefits, and compensation trends across industries.
- Conduct job matching and benchmarking using standardized job evaluation methodologies.
- Calculate salary market indicators including:
- Median
- Mean
- Minimum
- Maximum
- Market positioning
- Salary ranges
- Interpret survey findings and identify emerging compensation trends.
- Prepare comprehensive salary survey reports and executive summaries.
- Develop charts, dashboards, and visual presentations of survey findings.
- Present findings to management and clients.
- Provide recommendations on remuneration structures and market competitiveness.
- Support HR consulting assignments relating to compensation and benefits.
- Advise clients on salary benchmarking, pay structures, grading systems, and reward strategies.
- Assist clients in designing competitive salary structures based on survey findings.
- Monitor labour market trends, inflation, economic indicators, and remuneration practices.
- Research emerging compensation trends, employee benefits, and reward strategies.
- Maintain an up-to-date database of salary information across sectors.
- Maintain salary survey databases and compensation records.
- Update salary benchmarks regularly.
- Ensure secure storage and confidentiality of remuneration data.
- Build and maintain relationships with participating organizations.
- Respond to client enquiries relating to salary survey findings.

Qualifications
- Bachelor’s Degree in Human Resource Management, Statistics, Economics, Business Administration, Finance, Data Analytics, or a related field.
- Minimum of 3–5 years’ experience in compensation and benefits, salary surveys, HR analytics, remuneration consulting, or a related field.
- Professional qualification in Human Resources with ZIHRM is a must.
- Certification in Compensation and Benefits or Rewards Management is an added advantage.
- Experience conducting salary benchmarking studies is highly desirable.
- Experience in an HR consulting environment is an added advantage.
- SENIOR HR OFFICER OPERATIONS
The Senior HR Officer Operations will be responsible for providing effective HR operational support to KSM Management Consultants and its clients. He/She will ensure smooth execution of HR processes including employee lifecycle management, HR administration, payroll coordination, employee relations, HR compliance, and implementation of HR policies and procedures.
Duties and Responsibilities:
- Manage day-to-day HR operations for assigned clients and internal KSM employees.
- Maintain accurate employee records, HR databases, contracts, leave records, and personnel files.
- Coordinate employee onboarding, transfers, confirmations, promotions, and separations.
- Support implementation and review of HR policies, procedures, and processes.
- Prepare HR reports, workforce analytics, and operational updates for management and clients.
- Provide first-line HR advisory support to clients on employee-related matters.
- Support handling of disciplinary cases, grievances, investigations, and conflict resolution.
- Ensure HR practices are aligned with the Employment Code Act and other relevant Zambian labour regulations.
- Support managers with guidance on performance management, employee engagement, and workplace issues.
- Coordinate payroll inputs including salaries, allowances, deductions, overtime, leave adjustments, and statutory requirements.
- Liaise with payroll teams to ensure timely and accurate payroll processing.
- Support statutory compliance including NAPSA, Workers’ Compensation Fund (WCF), PAYE, and other employment-related obligations.
- Review payroll reports and highlight discrepancies for correction.
- Support recruitment activities including job profiling, vacancy management, interviewing, reference checks, and onboarding.
- Ensure smooth transition of new employees into client organisations.
- Maintain recruitment and staffing records for assigned clients.
- Conduct HR compliance reviews for clients.
- Ensure employment contracts, HR files, policies, and procedures meet statutory requirements.
- Support preparation of HR audit reports and recommend corrective actions.
- Monitor compliance with labour regulations and company policies.
- Support implementation of performance management processes including goal setting, appraisals, and performance improvement plans.
- Identify training needs and coordinate learning and development initiatives.
- Support employee engagement activities and HR improvement projects.
- Serve as the HR operations contact person for assigned clients.
- Build strong working relationships with client management teams and employees.
- Provide timely HR reports, updates, and recommendations.
- Ensure high-quality delivery of outsourced HR services.
Qualifications and Experience:
- Bachelor’s Degree in Human Resources Management, Business Administration, Industrial Relations, or related field.
- Member of the Zambia Institute of Human Resource Management (ZIHRM) preferred.
- Minimum 5 years’ experience in HR operations, HR generalist roles, or HR consultancy environments.
- Experience managing HR operations for multiple clients will be an added advantage.
- Strong knowledge of Zambian labour laws and HR best practices.
- Experience in payroll coordination, employee relations, and HR compliance.
